Privacy Policy

ScheduledWell is an AI-assisted home management platform operated from British Columbia, Canada. This policy explains what information we collect, how we use it, and who processes it on our behalf. ScheduledWell is currently in beta, and this policy describes the product as it is built today. We will update it as the product changes.
1. Information we collect
Account information. Your email address, password (stored as a salted hash by our authentication provider — we never see it), optional display name, account creation and sign-in timestamps, and email confirmation status.
Property and home information you enter. Property address and location details, home type, year built, size, and other characteristics you provide, along with the home systems, equipment and assets you record, maintenance tasks, schedules, completion history and your notes.
Documents and photos you upload. Files such as home inspection reports, warranties, receipts, manuals and photos of equipment, together with the file name, type, size and upload time.
Information extracted from documents and photos. When you use Build Your Home Record, our AI processing provider analyses the file and returns proposed findings, which can include equipment names and categories, manufacturers, model numbers, serial numbers, installation or manufacture dates, capacity or specification details, reported condition, and related notes or observations drawn from the document.
Email preferences. Whether you opted in to marketing email, the date of that choice, the version of the consent wording, where the choice was made, and the date of any withdrawal.
2. How we use your information
- To create and secure your account and sign you in.
- To build and maintain your Home Record — your property details, systems and assets.
- To generate personalized maintenance recommendations, reminders and schedules.
- To let you store, preview and manage your home documents.
- To analyse documents and photos you submit so we can propose home systems and equipment details for your review.
- To operate, support, troubleshoot and improve the service during beta.
- To send essential account emails (confirmations, password resets, security notices), and marketing email only if you have opted in.
3. AI processing of documents and photos
When you upload a document or photo to Build Your Home Record, the file content is transmitted to our AI processing provider so that potential home systems and equipment details can be identified. The file is sent as-is for analysis; we do not send your name, email address or property address along with it.
AI-extracted findings do not become part of your Home Record automatically. Findings are presented to you as proposals. Nothing is added to or updated in your Home Record until you review the findings and approve them. You can edit, deselect or discard any finding.
AI output can be incomplete or inaccurate. ScheduledWell does not provide professional home inspection, engineering, trade or repair advice, and AI-assisted findings are not an inspection or diagnosis of your home.
Training. ScheduledWell does not use your documents, photos or extracted findings to train its own AI models. Our application and AI Gateway provider, Lovable, publishes terms stating that Customer Personal Data is not used for AI or machine-learning training. Processing by the underlying AI model provider is governed by that provider's applicable terms; we cannot make retention or training commitments on their behalf beyond what those terms state.
4. Service providers who process your information
We use the following providers to run ScheduledWell. Each processes information on our behalf under its own terms:
- Supabase — database hosting, authentication, and private file storage for your uploaded documents and photos.
- Lovable — application hosting and the AI Gateway through which document and photo analysis requests are routed. See Lovable's current privacy and subprocessor information.
- Google (Gemini) — the AI model provider that analyses uploaded documents and photos via the AI Gateway.
- Cloudflare — edge infrastructure that serves the application and runs our server-side functions.
5. Where your information is processed
ScheduledWell operates from Canada, but our providers operate global infrastructure. Your information — including uploaded documents and the content sent for AI analysis — may be processed or stored outside Canada, including in the United States.
ScheduledWell does not claim Canadian-only data residency. Information stored or processed outside Canada may be subject to the laws of the jurisdictions where our providers operate.
6. Data retention
We keep your account information, Home Record and uploaded documents for as long as your account is active, or until you delete the individual records or documents in the application. Deleting a document removes it from your library and from our private storage bucket.
Marketing consent records — including withdrawals — are kept as a record of your choices so that an unsubscribe is honoured permanently.
We do not state retention periods on behalf of our service providers. Their handling and retention of data processed through their systems is governed by their own published terms.
7. How we protect your information
- Uploaded documents and photos are stored in a private storage bucket that is not publicly accessible.
- Files are only viewable through short-lived signed URLs generated for you when you open a document.
- Row-level security is enforced in the database, so records are only readable by the account that owns them.
- Access to a property's data is limited to that property's members and their assigned role.
- All application data access requires an authenticated session.
- Traffic between your browser and our providers is encrypted in transit.
No online service can guarantee absolute security. We continue to strengthen our controls as the product develops.
8. Access by ScheduledWell administrators
A small number of ScheduledWell platform administrators can access an internal admin view to operate and support the beta. That view shows account-level and aggregate information: names and email addresses, sign-up and activity dates, verification status, counts of properties, assets and documents, marketing opt-in status, and a feed of activity events such as "document uploaded" or "task completed".
Administrators do not have a feature that displays the contents of your uploaded documents or photos. Administrator access is restricted by a server-side role check; ordinary accounts cannot reach it.
9. Marketing email and consent
Marketing email is optional and never required to create an account. The consent checkbox at sign-up is unchecked by default. You can opt in or unsubscribe at any time under Settings → Email preferences. Your choice is stored with a timestamp and honoured. You will still receive essential account emails such as sign-in confirmations, password resets and security notices.
10. Your rights
You can view and correct most of your information directly in the application — your property details, home systems and assets, maintenance records, documents and email preferences. You can delete individual documents, assets and tasks yourself.
You may also ask us to provide a copy of the personal information we hold about you, correct it, or delete your account and associated personal data. Account deletion is currently handled manually during beta — email us using the address below and we will confirm the request and carry it out.
11. Children
ScheduledWell is intended for adults responsible for a home. It is not directed at children, and we do not knowingly collect information from children.
12. Changes to this policy
We will update this policy as ScheduledWell develops. The version and effective date at the top of this page will change when we do. Material changes will be communicated within the application or by email.
